Privacy Policy
Section 1 — Introduction
ABIA is a professional workflow platform built for licensed group home healthcare providers. This Privacy Policy explains what information we collect, how we use it, how we protect it, and your rights as a user.
By downloading, installing, or using ABIA, you agree to the practices described in this Privacy Policy. If you do not agree, please discontinue use of the App.
Section 2 — Information We Collect
A. On-Device Data (Never Transmitted)
The following data is stored exclusively on your device and is never uploaded to any server, shared with any third party, or accessible by ABIA:
- Client first names and assigned house names
- Saved healthcare provider information and appointment stages
- Client condition tags used only for provider search filtering
- Staff-entered notes associated with client profiles
- PIN unlock credentials (stored in your device Secure Enclave)
B. Operational Query Data
To deliver the App's features, the App may transmit the following to our service providers:
- Healthcare provider search queries (location coordinates and specialty type only — no client identifiers)
- Staff-entered text submitted to the operations assistant (operational questions only — users must not enter PHI)
- Compliance inspection photos (processed in real time, immediately discarded after analysis)
- Anonymous crash reports and performance diagnostics (no user identity attached)
C. Organization Setup Data
During initial setup, the App collects your organization name and group home location names for workspace personalization. This data is stored locally on your device.
Section 3 — Information We Never Collect
ABIA is designed to avoid Protected Health Information (PHI). We never collect, store, or transmit:
- Client last names, dates of birth, or Social Security Numbers
- Medicaid ID, Medicare numbers, or insurance policy numbers
- ICD-10 diagnosis codes or clinical documentation
- Psychiatric records or behavioral health clinical notes
- Financial records or banking information
- Device contacts, call history, or messages
- Biometric data of any kind
Section 4 — How We Use Your Information
We use collected information solely to:
- Operate and deliver the App core features (provider search, compliance assistant, photo inspection, client profile management)
- Improve response accuracy through aggregated, anonymized usage patterns
- Diagnose technical issues and maintain service availability
- Send critical service updates or security notices to administrators
We do not use your information for advertising, marketing profiling, data brokering, or any purpose beyond operating the App.
Section 5 — Third-Party Service Providers
- Google Maps Platform (Places API, Geocoding API): Receives location coordinates and specialty search terms to return provider results. No client names or identifiers are transmitted.
- Intelligent Assistance Service: Receives staff-entered operational text to generate workflow guidance. Users must not enter client PHI. Data is processed under a Data Processing Agreement.
- System Monitoring (SMTP): Used exclusively for administrator-level system health alerts. No user data is included.
ABIA does not sell, rent, or share your data with any other third parties.
Section 6 — HIPAA Compliance Position
ABIA is not a Covered Entity or Business Associate as defined by HIPAA (45 C.F.R. Parts 160 and 164). ABIA is a workflow operations tool — not an EHR, clinical documentation system, or billing platform. Operators using ABIA within a HIPAA-regulated environment are responsible for ensuring staff use the App in accordance with their organization's HIPAA policies.
Section 7 — Data Security
- On-device data is protected by your device's native encryption and secure storage APIs
- PIN codes are stored in your device's Secure Enclave and are never transmitted
- All network communications use TLS 1.2 or higher encryption
- Provider searches and operational queries are stateless — no session data is retained after completion
Section 8 — Device Permissions
- Location Access: Used to search for providers near a specific address or your current location. Not stored by ABIA.
- Camera & Photo Library: Used exclusively for Compliance Inspection. Photos are not stored or shared after analysis.
ABIA does not request access to contacts, microphone, calendar, or any other device capability beyond those listed above.
Section 9 — Children's Privacy
ABIA is intended exclusively for adult employees of licensed healthcare organizations. The App is not directed to individuals under 18, and we do not knowingly collect personal information from minors.
Section 10 — Data Retention & Deletion
- On-device data: Retained until you clear it via Settings > Clear All Data, or until the App is uninstalled.
- Operational assistant sessions: Not retained after the session ends.
- Inspection photos: Processed in real time and immediately discarded.
- Aggregated usage logs: Retained for up to 12 months in anonymized form.
Section 11 — Your Rights
Depending on your jurisdiction, you may have the right to access your data, correct inaccurate information, request deletion, request data portability, and object to certain uses. Contact us at support@solidarityhomehealthcare.com. We will respond within 30 days.
Section 12 — Changes to This Policy
We may update this Privacy Policy as the App evolves. Material changes will be communicated by updating the Effective Date and notifying administrators through the App or via email. Continued use constitutes acceptance.
